Refund/Cancellation Policy

We realize that the cost of ECC is significant for many families. It is also important that Campers understand that ECC is an event run on a very tight budget. We would like to be able to issue refunds for cancellations, but unfortunately cannot due to the enormous financial obligation we incur when we register families for camp. Organizing Camp includes planning to provide facilities and housing, food, program activities and recreation, administrative support, and help cover the cost of our young adult volunteers who help run children’s programming. Once we enter into our contract with UNE to hold camp, all costs are nonrefundable for ECC.

We have learned over the years that families generally plan their summers early, and we know (and appreciate!) that Camp is a highlight of your summer. However, because of this planning, it is often then difficult to find a replacement family when one cancels. Even with a Camp Wait List, it can be challenging to find a family with the same number of campers so that our housing and programming needs do not need altering.

We understand that exigent circumstances happen (i.e. illness, injury, family emergency, death in family), and aim to be as accommodating as possible in all cases, but we CANNOT issue full refunds. Please refer to the following information on refunds of camp payments:
·      Deposits ($200) can be partially refunded through May 15th (however, please notify us as soon as possible so we may fill the spot). A $25 administrative fee will apply, and $175 will be refunded.
·      Balance payments are due May 15th. If changes to given registration information are needed, requests must be submitted by April 15th to be eligible to pay the new balance amount (if lower). For any requests or changes made after April 15th, the expected balance payment based on registration will still be due.
·      For cancellations after May 15th, all remaining balance payments are still due, however half of the balance amount can be rolled over to the next year. For example, if the balance is $400, we will apply $200 towards your payment for next year. The remaining portion, along with your deposit, will be forfeited.
